Add additional leadership and adult positions for SAR

For our organization, we need some additional positions added if possible:

Leadership: Coordinator, Assistant Coordinator, Secretary, Treasurer, K9 Coordinator, Dispatch Coordinator, Equine Coordinator, Member at Large

Adult: STM, STL, MTM, MTL, Tracking, STI, K9, Equine, SMC

Leadership positions for Virginia SAR groups should follow FEMA’s ISC-100b command structure. I don’t believe “treasurer” or “secretary” are described, but this should be confirmed. Examples of positions would be Commander, Operations Section Chief, Deputy Operations Section Chief, Planning Section Chief, Deputy Planning Section Chief, Finance/Administration Section Chief, Deputy…, Logistics Section Chief, Safety Officer, Public Information Officer, etc.

Rob, certifications such as STM, STL, MTM, MTL, etc. identified under Achievements (which are kind of like Ranks). TSAR also tracks expirations for those certifications by uploading certificates under the Member Profile->Certificates.

Correct, sort of…

First, not all VA SAR groups identify their officers with ICS titles. In
fact, most do not, so these will be leadership positions that other groups
will be wanting as well. ICS titles are typically (I know TSAR uses them
for officers) reserved for incidents or missions and those may not be the
same as they are in the individual groups as we all work together when we
respond and those assignments are made on scene. For example, depending on
who responds, I may be the incident commander as the highest trained on
scene, but I’m the training officer in my group.

As for the certifications, I didn’t see those under achievements, but I’m
still playing with it, so I didn’t look there. I’ve already started with
mine to track expirations under certificates. That’s a nice feature. One
question, if those are put in as achievements, can I sort and track members
by those, or for example, if I want to see how many STL’s we have, can I
just pull them up by achievement? That was the reasoning for wanting to
add those as positions, but if I can do that with achievements, then
there’s no need. Thanks… .

When I go in under achievements, I don’t have anything listed there to
add…??

Go to Manage > Sub-groups and click on someone’s name. This will take you to their profile. Under the “Achievements” tab, you can press “Start Achievement” and see what Jim is referring to.

Rob, thanks for the clarification on leadership positions.

You’ll also find STM, STL, etc under achievements as well as certificates. The certificates themselves are uploaded to “Certificates” and the expiration dates can be tracked there also. Since this software was originally designed for scouts, their ranks (achievements) do not expire like ours do. I believe they are working to customize this for us. For now, you can start an achievement for say COQ, for example. It will have all of the requirements for your group’s COQ (you’ll need to ask TroopTrack to modify for your group if it differs from what is shown). New members can then track their progress.

Getting back to certificates, there’s actually a bug with uploading the certificates. You’ll first need to go to the Member’s Profile, click the Certificate tab, then click on Add Training. Select a certification such as STM and enter the completion date shown on the certificate (we don’t worry about the Goal date). Click SAVE. Then click EDIT for that training. When it comes back up to edit it, you’ll notice that it will now give you the opportunity to upload a certificate. This is a great feature so you as the training officer don’t have to keep hard copies if you don’t want to. When the certificate expires, you can manually move it to the Member’s Profile->Files tab as an archive.

Thank you Jim… I appreciate all the work you’ve already done on this. I’m still not seeing anything under achievements on our page. The list is empty. There’s only a save button and nowhere that I see to add anything. Am I missing a step somewhere or just not seeing it (which is entirely possible)?

Just for clarification, I did follow these steps and when I click “Start Achievement”, there is a popup window with nothing in it but a save button.

I just double checked, and it looks like it’s just not working for you. Not sure why. I’ll have to look deeper into it. It may be because you already have info under “Certifications” and “Leadership”, but it’s hard to tell right now. See if you are able to see them for another user.

Indeed it does work with the other folks I’ve added and the list is there with them. Just let me know what you figure out. I can delete mine and add them back later if needed. Thanks.

Also… the other users I’ve put achievements in on already had items under leadership as well…

Sorry for all the posts… just letting you know as I try things. I added another member and tried to do achievements first, but it’s doing the same as mine and there is nothing there to select.

Question… under registration info, there is a box for “Registered Member”. What exactly is that for?
