We do all of our event planning for the year in May. We add new scouts to our Pack typically in August/September. How about an easier way to get the events out to the new members (short of manually going in to each event and adding them to it!).

This sound like a great idea! However, before we can introduce this idea to our developers, we would like to see a little more support from the rest of the TroopTrack community. Have any other TroopTrack users you know add their support as a +1 or a comment about the idea and we will see what we can do.

Definitely would love to see this feature! As an aside, on the site we used to use, we were able to attach calendar events to the emails we sent from the site so they were all in one place. That could be a way to implement this feature.
I think this would also be a good idea. I also create a calendar of events way in the future and adding new troops to those events in a bulk form would be great.
This brings up a great question-
How do you edit an event to include members that weren’t previously invited?
Say we have WEBELOS that cross over in March; how do we invite them via TroopTrack to the next camp out?

@sgaines has a great example for the developers considering this. There needs to be a way for TroopTrack to look for Members that are added to existing group lists, cross check those to events that used the same group, and then send the relevant invites.

It is an ugly work around to fix this issue but here goes.
Open up the calendar item, remove the everyone checkbox. Save the calendar item, Edit the Calendar item again, add the everyone back. Save the calendar item.
Being a smart Scoutmaster once I figured it out - I passed the buck…, um I meant to say delegated this task to our Events Coordinator.
We needed to do this for every calendar item previously created before the new Scouts from Crossover joined.
Does it resend the invite to all members at that point? I guess spamming
everyone is unavoidable in this case though…
Most of the future emails are set to be either 14 or 30 days before the event so the spam hasn’t happened yet in most cases.
But yes - the spam goes out on some events. Heaven forbid I get a family that joins mid year. Yuck.
So at this point I’m better to set up my events but don’t invite anyone
until we get past fall registration. Then add the invites…

I would love to be able to invite any new members to established events quickly and easily. We are in same boat, calendar is set in May and registration is in August/September. We are new to trooptrack and I just spent two days entering our calendar, it kind of makes me want to cry knowing that we will have to redo every entry every time our roster changes.
We’re new as well. My plan is to put the calendar in, but don’t send any
email invites until we get through fall registration.
I did send a few email invites for the activities planned in August and
September. Hopefully the developers will look into this issue.

We are aware of this issue and have found it much harder and more time consuming to fix than you might think. It is on our todo list and in our minds, it’s just not easy.

+1! We just switched our pack to TT and built the calendar before adding new members from our registration night. Come to find out all the new members don’t have any events on their calendar!
